Background of the Study
The integration of voice-activated technologies into administrative operations has gained momentum as institutions seek to improve efficiency and accessibility. Federal Polytechnic Bauchi is exploring the use of AI-powered voice assistants to support various administrative tasks, such as handling student inquiries, scheduling meetings, and processing routine documentation. These voice assistants leverage natural language processing and speech recognition algorithms to interpret user commands and provide real-time responses (Abdulrahman, 2023; Musa, 2024). Traditional administrative processes often require manual input, resulting in delays and potential errors. In contrast, AI-powered voice assistants can streamline operations by automating repetitive tasks and facilitating instant communication between administrative departments. The system can be integrated with existing enterprise resource planning (ERP) systems, thereby offering seamless support and reducing the workload on administrative staff. Moreover, by enabling natural language interactions, voice assistants improve accessibility for users with disabilities and enhance overall user satisfaction. This technology represents a shift toward more human-centric, efficient administrative processes and is aligned with global trends in digital transformation. However, the adoption of voice assistants also raises concerns regarding data privacy, system accuracy in diverse accents and languages, and the reliability of voice recognition under different acoustic conditions. Statement of the Problem
Federal Polytechnic Bauchi’s administrative operations are burdened by time-consuming manual processes that result in inefficiencies and delays. Although AI-powered voice assistants offer a promising solution to streamline these tasks, their implementation is hampered by several challenges. The accuracy of speech recognition in environments with background noise and diverse linguistic accents remains a significant concern. Moreover, integrating voice assistants with existing administrative systems presents technical difficulties, including compatibility issues and data synchronization errors. There are also concerns about the security and privacy of sensitive administrative data when processed by AI systems. Staff members and users have expressed skepticism regarding the reliability of automated voice interfaces, fearing that errors could lead to miscommunication or operational disruptions (Abdulrahman, 2023). Furthermore, the lack of comprehensive training and support exacerbates resistance to adopting new technologies. This study aims to address these issues by evaluating the performance of AI-powered voice assistants in handling administrative tasks. It will assess system accuracy, user acceptance, and the integration challenges with legacy systems. The objective is to identify critical barriers and propose actionable solutions that ensure a smooth transition toward a more efficient, voice-assisted administrative framework. By bridging the gap between current manual processes and advanced AI solutions, the study seeks to improve the overall effectiveness of administrative support while safeguarding data integrity (Musa, 2024).
