Background of the Study
As the number of university applicants increases annually, institutions such as Federal University, Lokoja, face challenges in handling the high volume of admission-related inquiries. Traditional methods, including phone calls, emails, and in-person visits, can be overwhelming for admission offices and lead to delays in providing timely information to prospective students. The development of intelligent chatbots offers a solution by automating responses to frequently asked questions and guiding applicants through the admission process. Chatbots powered by artificial intelligence (AI) can understand and respond to text or voice input in a natural, conversational manner, providing accurate, real-time information 24/7. This study explores the design of an intelligent chatbot tailored to answering university admission inquiries at Federal University, Lokoja, utilizing natural language processing (NLP) techniques to enhance user experience and administrative efficiency.

Statement of the Problem
The admission office at Federal University, Lokoja, struggles with managing the influx of inquiries, resulting in delayed responses and dissatisfaction among prospective students. Traditional methods of addressing inquiries are resource-intensive and prone to human error, leading to inefficient communication. An intelligent chatbot could automate responses, ensuring that applicants receive quick and accurate information. However, designing a chatbot capable of handling complex admission-related inquiries while providing a seamless user experience requires careful consideration of system requirements, technology integration, and continuous improvement. This study aims to address these challenges by developing a chatbot system for the university’s admission office.

Objectives of the Study

  1. To design and develop an intelligent chatbot that can handle university admission inquiries at Federal University, Lokoja.
  2. To evaluate the chatbot’s effectiveness in providing accurate, timely, and relevant admission information to prospective students.
  3. To integrate natural language processing and machine learning algorithms to enhance the chatbot’s performance and user experience.

Research Questions

  1. How effective is the designed chatbot in addressing admission-related inquiries at Federal University, Lokoja?
  2. What are the key challenges in designing an intelligent chatbot that can respond to a wide range of admission inquiries?
  3. How can machine learning and natural language processing improve the chatbot’s accuracy and user interaction?

Research Hypotheses

  1. The intelligent chatbot will significantly reduce the time taken to respond to admission inquiries compared to traditional methods.
  2. The chatbot’s ability to understand and respond to complex admission questions will improve as it learns from user interactions.
  3. Prospective students will report higher satisfaction with the admission inquiry process when interacting with the chatbot compared to traditional methods.

Significance of the Study
This study will contribute to the development of automated systems in university admission offices, enhancing the efficiency and effectiveness of handling student inquiries. The research will provide Federal University, Lokoja with a viable solution for improving communication with prospective students, leading to better user experiences and more efficient administrative operations.

Scope and Limitations of the Study
The study will focus on designing an intelligent chatbot specifically for handling admission inquiries at Federal University, Lokoja (Lokoja LGA, Kogi State). The scope will include the use of natural language processing for understanding user queries and machine learning algorithms for enhancing chatbot performance. Limitations include the need for a high-quality dataset for training the chatbot and the challenge of integrating the chatbot with existing admission management systems.
